Terms & Conditions

The terms governing London airport transfers booked with Express Airport Cars, including Meet & Greet, flight tracking and executive transfer services to Heathrow, Gatwick, Luton and Stansted.

Definitions & Interpretation

In these Terms & Conditions ("Conditions"):

  • "Passenger" — the individual placing a booking or accepting a quotation for our London airport transfer service.
  • "Provider" — Express Airport Cars, the operator supplying airport transfer services.
  • "Contract" — the agreement for transport services governed by these Conditions.
  • "Service" — professional transport to or from airports, including any additional or multiple services such as Meet & Greet and flight tracking.
  • "No Show" — when the Passenger neither uses nor cancels the reservation within the permitted time.

The Service means the service of transport to or from airports — including any instalment of the service or any multiple services — which the Provider is to supply in accordance with these Conditions.

Headings are included for convenience only and do not affect the interpretation of these Conditions.

Contract Conditions

A Contract is formed only when Express Airport Cars confirms the Passenger's reservation in writing by email.

By booking via our website, by telephone, or through any authorised agent, the Passenger accepts these Conditions.

The Provider may update these Conditions at any time. Revised terms take effect one hour after being posted on our website.

Images, descriptions and illustrations used on the website or in marketing materials for our London airport transfer service are guides only and are not contractually binding.

The Provider may adjust service specifications where required to comply with safety, legal or regulatory requirements.

Terms of Carriage
Booking Requirements

Passengers must ensure their booking aligns with airline check-in times and travel guidelines for Heathrow, Gatwick, Luton, Stansted and other London airports.

Waiting Time
  • Non-airport pickups: a short grace period is provided.
  • Airport pickups: a generous waiting allowance is included after landing.
  • Flight delays are monitored continuously through our flight tracking service.
"Airport meets: 45 minutes free waiting time from the time of landing."
Diversions & Additional Requests

Any additional stops, route changes or special requests may be subject to operational adjustments.

Parking & Road Charges

Parking, tolls and road-related charges may apply depending on the journey and airport procedures.

No Show Policy

A booking is classified as a No Show when the Passenger cannot be contacted within the allocated waiting period, for both address and airport collections.

Seasonal Operations

Certain holiday dates may operate under adjusted service conditions.

Cleaning & Safety

A cleaning fee may apply if a vehicle is soiled or contaminated during the journey.

Luggage & Safety Requirements

Express Airport Cars is not responsible for loss or damage to luggage. Passengers must ensure their luggage is safely loaded and unloaded at all times.

Prohibited items include hazardous materials, fragile goods, perishables, cash, alcohol, illegal substances and other restricted items.

Sub-Contractors

The Provider may use approved third-party drivers or companies to fulfil executive transfers and other services. Details may be provided upon reasonable request.

Cancellations

Cancellations must be made by email or telephone.

Cancellation terms apply based on the time remaining before the scheduled pickup.

"Cancellations must be informed of a minimum of 24 hours prior to the time of booking."

Liability & Force Majeure

Express Airport Cars is not liable for delays or service interruptions caused by events beyond its control, including:

  • Severe weather
  • Traffic congestion
  • Accidents
  • Strikes
  • Flight delays or cancellations
  • Power failures
  • System breakdowns
"Act of God, explosion, flood … traffic hold ups … flight delays."

All implied warranties are excluded to the fullest extent permitted by law.

Passengers must keep confidential any business information obtained from the Provider.

Miscellaneous
  • A waiver of any breach does not constitute a waiver of future breaches.
  • If any provision is invalid, the remainder of these Conditions remains enforceable.
  • The Contract is governed by the laws of England & Wales.

Minors & Teenagers

Unaccompanied minors are not permitted to travel. Teenagers may travel alone only with parental consent and prior notification at the time of booking.

Express Airport Cars accepts no additional responsibility for unaccompanied minors or teenagers.

Child Seats

Child seats and boosters are provided on request when available, but availability cannot be guaranteed.

Offers

Promotional offers, including online booking discounts, must be redeemed within six months of issue or they become void.

Privacy Policy

Express Airport Cars may collect:

  • Name
  • Contact details
  • Address and postcode
  • Information submitted via online forms

Data is used for:

  • Fulfilling bookings
  • Internal record keeping
  • Service improvements
  • Marketing communications (opt-out available at any time)

Express Airport Cars does not store credit card details. Payments via Worldpay or PayPal are handled externally and securely.

Cookies are used for analytics and to improve website performance.

Personal information is never sold or shared with third parties unless required by law.
